Event services in South Africa: a planner's guide
Updated 15 June 2026
The talent gets the applause, but it's the event services behind the scenes — staffing, bar and hospitality, security, décor and styling, planning and technical production — that decide whether an event runs smoothly or falls apart. Here's what each service does, roughly what it costs in South Africa, and when to book it.
All of these are bookable on Gigster's event services — vetted suppliers, transparent pricing, protected payments.

Staffing & hosts
Registration staff, ushers, waitstaff, brand ambassadors and event hosts — the people who keep guests moving and looked after. Usually priced per staffer per hour (roughly R250–R600 depending on role and skill), often with a minimum shift. Browse hospitality & staffing.
Bar & hospitality
Mobile bars, professional bartenders, cocktail specialists and barista carts. Pricing depends on guest numbers, whether stock is included, and the style of service — from a few thousand rand for bartenders to R20,000+ for a full branded mobile-bar experience. Browse bar & beverage services.
Security & guest management
Access control, crowd management and VIP protection — essential for larger or higher-profile events. Typically priced per guard per hour (around R250–R500) with minimum hours. Browse security & guest management.
Décor & styling
Floristry, table styling, props and sets, furniture and linen hire, signage and branding — what turns a venue into your event. Costs scale enormously with scope, from a few thousand rand for simple styling to R50,000+ for a fully designed, branded space. Browse styling & décor.
Planning & coordination
From day-of coordination (keeping the timeline on track on the day) to full end-to-end planning. Often a percentage of the event budget or a flat fee from around R8,000 for coordination up to R60,000+ for full planning of a large event. Browse event planning & coordination.
Production & AV
Sound, lighting, staging, screens and technical crew — non-negotiable the moment anyone speaks or performs. See the full breakdown in event production & AV costs, or browse production & technical.
When to book what
- First: venue, then planning/coordination and production — they shape everything else.
- Early: décor and styling (the good ones book out), and security for larger events.
- Closer in: staffing, bar and hospitality, once numbers are confirmed.
