Year-end functions

The year-end function is the single most contested date in the South African events calendar. Everything from late October to mid-December competes for the same bands, the same MCs and the same AV crews, and the good ones are gone by August.

Conferences

Conference bookings work differently to a party. The MC is the most important hire — they hold the programme to time, bridge sessions, and cover gracefully when a speaker over-runs. Budget for a professional rather than an internal volunteer; it is the difference between a day that flows and a day that drifts.

The format that works: an MC who can move briskly through categories, ambient music during dinner, and a band or DJ to open the floor once the last award is handed over. Consider a charity auctioneer if there is a fundraising element — a professional will typically raise several times their fee.

For dinner music specifically, look at background music, saxophonists and string quartets rather than a full band — you want conversation to stay possible.

Product launches and brand activations

Launch work is a different brief again: the entertainment is there to hold a crowd and generate content, not to fill a dance floor. That usually means specialty performers and roaming acts, live artists creating a piece during the event, dancers for a launch moment, and content creators capturing it for social while it happens.
